The Role
The purpose of this position is to provide pro-active, practical, and efficient day-to-day administrative support to the leader of the Adolescent Mental Health Research team, and team members as required. This position will sit within the Research Directorate and will report to the Program Lead (Adolescent Mental Health Research Team).
Duties & Responsibilities
Administration
• Provide administrative support to the Adolescent Mental Health Research Team (e.g., typing, filing, photocopying, drafting correspondence, presentations) and other documents as required.
• Organise events, including room bookings, catering, materials.
• Organise and book travel for conferences.
• Respond to a range of in-person, telephone and email enquiries from internal and external stakeholders, and initiate, action or escalate as necessary.
• Coordinate and attend events such as team meetings, symposiums, seminars, meetings as required by the Program Lead.
• Maintain and update contact lists and databases when required.
• Assist with reconciliation of credit card expenses.
• Assist with staff recruitment and organising contract extensions.
• Proofread, copyedit and format documents for grants, publications and projects.
Diary, Email and CV Management
• Support the Program Leader in calendar scheduling and daily diary management.
• With support from the Program Lead, undertake diary, email and document management, including the monitoring and prioritising of emails and assisting with the preparation of responses.
Continuous Improvement
• Proactively identify opportunities for process improvements and assist in the development of more effective and efficient ways to support the research team.
Selection Criteria
1. Diploma or equivalent combination of qualifications and work experience.
2. Demonstrated experience in providing high level administrative support.
3. Excellent attention to detail and ability to provide effective customer service and support to clients at all levels.
4. Advanced verbal and written communications skills.
5. Advanced computer literacy with sound skills in Microsoft Office applications, particularly, Outlook, Word and PowerPoint.
6. Demonstrated ability to work autonomously and contribute effectively as a team member.
7. Demonstrated ability to work efficiently and with initiative to identify, analyse and resolve administrative issues.
8. Demonstrated skills in time management, organisation, and prioritisation of competing deadlines.
9. A knowledge of EEO principles and OH&S responsibilities and commitment to attending relevant OH&S training.
Desirable Criteria
1. Experience in and knowledge of a variety of University and NFP systems.
